A clear, personal way to follow up on an unpaid invoice.
Before you follow up, check the invoice balance and recent payments. Send a short message with the invoice reference, remaining amount, and a clear question about timing. Save the response and your next follow-up date so the conversation does not get lost.
Check the record before writing the message
An invoice can look unpaid in your tracker even when the customer has just sent a deposit. Review receipts and record any payments you have received before contacting them. Check the invoice reference, due date, and outstanding amount rather than copying the original total into a reminder.
If an $8,500 invoice has a $3,000 deposit recorded, the conversation is about the remaining $5,500. If the due date has not passed, ask about timing without describing the payment as late. If there is a question about the work or the invoice, record that context too.
Use a message you would be comfortable receiving
A simple starting point: “Hi Alex, I’m checking in on invoice INV-0042 for the kitchen job. We have received the $3,000 deposit, leaving $5,500 outstanding. Could you confirm when you expect to send the remaining payment? Happy to resend the invoice if useful. Thank you.”
Adapt the message to the actual facts and relationship. Avoid implying that a payment has failed, that the customer has ignored you, or that a legal deadline applies unless you have verified it. ClearLien lets you copy a payment message, but you review and send it through your usual channel.
Record the answer, especially a promise to pay
If the customer replies “Friday,” save a promised payment date with a short note. A promise is useful context, but it is not a received payment. Keep the invoice balance outstanding until the money arrives.
Set your own follow-up date separately. You may want to check receipts after the promised day, or wait while a customer confirms an internal approval. ClearLien keeps both dates beside the invoice so you can choose the next step with the conversation in view.
Close the loop when money arrives
Record the received payment against the invoice, check the remaining balance, and complete any follow-up that is no longer needed. If only part of the amount arrives, keep the note and agree on the next step rather than treating the invoice as settled.
ClearLien never automatically sends customer payment emails. Its follow-ups are private tasks for your business. That gives you room to account for a fresh payment, a changed plan, or a customer relationship that needs a personal conversation.
Common questions
How often should I follow up?
Choose timing based on the due date, the last conversation, and any promised payment date. Keep the next step explicit rather than sending repeated messages without checking the record.
Does ClearLien send these messages?
No. Follow-ups stay inside your workspace. You can copy a message, review it, and send it yourself.
