Keep job documents useful, not just stored.
Organize documents around the job they support. Keep the agreement, issued invoices, payment receipts, and relevant work records together. Use clear file names and check that the record you need can be found and downloaded before you need it in a customer conversation.
Start with a small checklist for each job
A useful starting set is the agreement or scope of work, issued invoices, payment receipts, and supporting work records. Depending on the job, supporting records might include an approved change, a completion photo, or a signed waiver. Not every business needs every document type.
In ClearLien, documents belong to jobs. Choose a document type when uploading so an invoice file is distinguishable from a waiver or another supporting document. Waiver tracking is optional; marking a file as received does not establish that it is legally valid.
Name files for the question they answer
“Document-final-2.pdf” does not tell you much when a customer asks about a deposit. A name such as “Riverside-INV-0042-deposit-receipt.pdf” makes the job, invoice, and purpose easier to recognize. Use a consistent pattern that fits your work rather than an elaborate filing system no one maintains.
When an agreement changes, keep the original and the approved update clearly named. Upload the relevant final record instead of assuming that a file in someone’s email draft is safely available to the business. Avoid placing passwords or unrelated sensitive information in file names.
Keep payment evidence separate from the balance calculation
A receipt supports a payment record, but uploading the receipt does not record the payment amount. Enter the received payment against its invoice, then store the supporting file with the job. This keeps the outstanding balance accurate while preserving the document you may need later.
If you enter a payment incorrectly, void that entry with a reason and record the correct one. The audit history explains why the balance changed. A file upload, a promised date, and an actual payment are three different kinds of record.
Check access and keep an export you can use
ClearLien supports PDF, JPG, and PNG uploads up to 10 MB per file. Files are stored privately, and downloads use temporary signed links. Keep access to your own account secure and avoid sharing a downloaded file more widely than the job requires.
You can export document details as CSV and download records with original files in a ZIP, up to 100 MB per archive. Try opening an exported file when setting up your workflow. An export is useful only if the people relying on it can read the records and identify the matching job. Keep appropriate business backups outside any single application.
Common questions
Does uploading an invoice create a tracked invoice?
No. Create the invoice record to track its amount and balance. Upload the file separately as a supporting document.
Does a received waiver mean it has been legally checked?
No. ClearLien tracks that the file was received. Legal validity and any job-specific requirements need separate review.
