FOR US CONTRACTORS & SERVICE BUSINESSES

Contractor invoice tracking, with the job attached.

ClearLien is a web-based invoice and payment tracker for small US service businesses. Keep a job’s invoices, recorded deposits, remaining balances, customer notes, and documents together. Follow-ups stay private until you choose to contact your customer.

What can you track on each job?

Start with the job name, customer, contract value, and optional contact details. Add the invoices you have issued, including an invoice number, amount, issue date, and due date. ClearLien suggests the next invoice number so you can keep a consistent sequence.

Record payments received outside ClearLien against the right invoice. The outstanding balance updates after each payment, and customer details bring together the invoices and history for that customer. A contract value and an invoiced amount are separate figures: signing a $12,000 job does not mean you have billed the entire $12,000.

Keep the next conversation beside the balance

When a customer says they will pay Friday, save that promise with the invoice. Set a separate follow-up date for yourself and keep a note of the conversation. You can mark the task complete or cancel it when plans change.

ClearLien does not send payment reminders to your customers. A copied message is a starting point for a conversation you review and send through your own email or messaging app. This keeps timing and tone in your hands, especially when a payment has just arrived or an amount is being discussed.

Keep paperwork with the work

Store contracts, receipts, invoice files, signed waivers, and supporting photos with the job. Supported uploads are PDF, JPG, and PNG, up to 10 MB each. Waiver tracking is optional, so a consultant or home service business can use the same workflow without construction-specific paperwork.

ClearLien stores records; it does not generate state-specific lien notices, validate a waiver, calculate legal deadlines, or provide legal advice. If a job needs legal review, use qualified advice for that job’s jurisdiction.

Where does ClearLien fit in your business?

Use it when your immediate question is who owes what, which document belongs to the job, and when to follow up. Amounts are tracked in US dollars. It complements your existing bookkeeping process and does not handle payroll, tax returns, bank reconciliation, or payment processing.

Bring existing invoices in by CSV after adding the related jobs. Match your columns, review the import, and resolve flagged duplicate references before saving. Export records as CSV or JSON, or download records with original documents in a ZIP archive, subject to the 100 MB archive limit.

Common questions

Does ClearLien send invoices or collect payments?

ClearLien tracks invoices you issued and payments you received elsewhere. It does not process cards, move money, or automatically email your customers.

Can I use it outside construction?

Yes. Contractors, home service businesses, consultants, and studios can track jobs and customer balances. Waiver tracking is optional.

Can I correct a payment mistake?

Yes. Void the incorrect entry with a reason and record the correct payment. The original stays in the history; this does not refund a payment.

Put the balance and the next step in one place.

Start with a job. Add an invoice. Record payments as they arrive.
